Privacy Policy

1. Who we are

2. What we collect

In the course of providing TradieFlow, we collect:

  • Account information — name, email, phone number, business name, ABN.
  • Voice recordings — audio captured when you use the voice-to-invoice feature, transcribed for the purpose of drafting invoices.
  • Invoice and customer data — customer details, line items, prices, payment status.
  • Integration data — information synced to and from Xero, QuickBooks, and Stripe under your authorisation.
  • Technical data — device type, browser, IP address, usage logs for security and service quality.

3. How we use it

We use your data to provide the service: drafting invoices from voice input, syncing with your accounting and payments tools, sending invoices to your customers, and supporting your account. We use technical data to keep the service secure and to improve it. We do not sell your data, and we do not use it for advertising.

4. Third-party processors

To deliver the service, we share data with these processors only as needed:

  • Xero and QuickBooks — for two-way sync of customers, invoices, and payments under your connection.
  • Stripe — to process subscription billing and to enable pay-now links on your customer invoices.
  • OpenAI / speech-to-text providers — voice recordings are transmitted to a speech-to-text provider for transcription. Recordings are not retained by the provider for training purposes.
  • Cloud hosting — application and database infrastructure.

Each processor is bound by its own terms and privacy obligations.

5. How long we keep it

We retain your account and invoice data for as long as your account is active, plus a reasonable period afterwards to meet legal, tax, and audit requirements. Voice recordings are retained only as long as needed to draft and confirm an invoice, then deleted. You can request earlier deletion at any time.

6. Your rights

Under the Australian Privacy Principles, you have the right to access the personal information we hold about you, to correct it, and to make a complaint about how we have handled it. To exercise any of these rights, email bigcheese@indomustrading.com. We aim to respond within 30 days.

7. Security

We use industry-standard measures to protect your data, including encryption in transit (TLS) and at rest, restricted internal access, and regular security review. No system is perfectly secure, but we take reasonable steps and notify affected users in the event of a notifiable data breach as required by law.

8. Cookies

The marketing site uses no analytics or tracking cookies. The TradieFlow application uses essential cookies for sign-in and session management only.

9. Changes to this policy

We may update this policy from time to time. The version date at the top reflects the most recent change. Material changes will be communicated by email to account holders.

10. Complaints

If you are not satisfied with our handling of a privacy concern, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
